Flight Cancelled While Already at the Airport: Emergency Guide

Your flight was just cancelled and you are standing at the gate. This guide is designed for that exact moment. Quick, actionable steps to protect your rights and get moving as fast as possible.

Right Now: The First 5 Minutes

  1. 1

Open the airline app and check for self-service rebooking options. Many airlines show alternatives within seconds.

  2. 2

Call the airline on your phone while simultaneously joining the rebooking line at the gate.

  3. 3

Screenshot the cancellation notification on the departure board and in the app. This is evidence.

  4. 4

Do NOT leave the gate area until you have either a confirmed new flight or a refund confirmation.

Speed is everything. Every passenger on your cancelled flight is competing for the same seats. The passengers who act in the first 5 minutes get the best alternatives. Do not wait for an announcement.

Your Options: Rebook or Refund

Under DOT rules, you have two choices: accept the airline's rebooking on the next available flight (at no extra cost) or request a full cash refund and make your own arrangements.

  • Rebook if the next flight gets you there in time and you want to continue traveling.

  • Refund if the next flight is too late, you can find a better option on another airline, or your plans have changed.

  • Ask about partner airlines: some carriers can rebook you on alliance partners.

For more on the rebook vs. refund decision, see our airport cancellation guide. For the refund process, read our complete guide.

Get Your Expenses Covered

  • Meals: Ask for meal vouchers. Airlines committed to the DOT pledge provide them for delays of 3+ hours.

  • Hotel: If overnight, ask for hotel accommodation (for controllable cancellations).

  • Keep every receipt: meals, transport, hotel. These are reimbursable if the airline does not provide them.

Protect Your Compensation Claim

  1. 1

Ask the gate agent why the flight was cancelled. Note the answer.

  2. 2

Keep your boarding pass (physical or screenshot).

  3. 3

Do not sign anything waiving your rights.

  4. 4

Do not accept a voucher as your refund unless you prefer it.

  5. 5

If your flight involved an EU/UK airport or EU carrier, EU261 compensation up to €600 may apply.

File your compensation claim after you get home. Focus on logistics now. You can check your flight later and file for EU261 compensation or DOT refund when you are not stressed at an airport gate. For EU261 rights or UK261 rights, see our rights guides.
