Southwest Flight Cancelled: How to Get Your Money Back

Southwest Airlines operates differently from other US carriers, with no change fees, a unique points system, and a reputation for customer service. But when your flight is cancelled, federal rules still apply. Here is exactly how to get your money back.

Your Rights When Southwest Cancels

When Southwest cancels your flight, US DOT rules entitle you to a full cash refund to your original payment method. This applies whether you paid with cash, credit card, or Rapid Rewards points. The reason for the cancellation does not matter. Weather, mechanical issues, and crew shortages all trigger the same refund right.

Southwest must refund you in cash, not just travel credit. Under the DOT final rule, you have the right to a refund back to your original payment method, even if Southwest only mentions travel funds.

If your flight was significantly delayed (3 or more hours domestic) rather than fully cancelled, the same refund right applies. Southwest is also required to rebook you on the next available flight at no additional cost if you prefer to continue traveling.

Southwest Travel Funds vs. Cash Refund

Southwest commonly issues "travel funds" (essentially a credit tied to your name) when flights are cancelled. Many passengers accept these without realizing they can demand cash instead. Travel funds expire, typically within one year of the original booking date, and can only be used for future Southwest flights.

If you booked a Wanna Get Away fare (Southwest's cheapest option), Southwest may initially tell you that only travel funds are available. This is not accurate for cancellations. If you paid with Rapid Rewards points: Southwest must restore your points to your account AND refund any taxes or fees you paid in cash. Both components are required under DOT rules.

How to Request Your Refund

Southwest offers several channels for requesting a refund. The fastest is typically through their website, but phone calls create a paper trail that can be useful for escalation.

    Log in to southwest.com and navigate to "My Trips." If your flight was cancelled, a refund option should appear automatically.

    If no refund option is visible, call Southwest at 1-800-435-9792 and request a "full cash refund to original payment method."

    State explicitly that you are requesting a refund under the DOT final rule (October 2024), not travel funds.

    Record the confirmation number and the name of any agent you speak with.

    If paying by credit card, Southwest must process the refund within 7 business days. For other payment methods, the deadline is 20 calendar days.

What Southwest Owes During the Disruption

Southwest signed the DOT customer commitment pledge, which means they have committed to providing specific assistance during controllable cancellations and delays.

  • Meal vouchers for controllable delays of 3 or more hours.

  • Hotel accommodation and ground transportation for controllable overnight cancellations.

  • Rebooking on the next available Southwest flight at no additional charge.

"Controllable" means the disruption was caused by something within Southwest's control (crew, maintenance, scheduling). Weather cancellations do not trigger the hotel obligation, but the refund right is not affected by whether the delay was controllable. What to Do If Southwest Says No

If Southwest denies your refund request or only offers travel funds, you have several escalation options.

    Resubmit in writing through Southwest's Customer Relations form at southwest.com. Written claims are tracked differently from phone requests.

    File a DOT complaint at transportation.gov/airconsumer. Airlines must respond to every DOT complaint, and most valid refund requests are honored after a federal complaint.

    Credit card chargeback is available if you paid by card and Southwest refused a valid refund. Contact your card issuer with documentation.

    Small claims court is an option for larger amounts. Southwest typically settles before appearing in court.
